Behind the Scenes - The logistics of organizing a prison concert

When people think of organizing a concert, they often imagine booking a venue, arranging the sound system, and spreading the word to eager fans. But organizing a concert in a prison? That’s a whole different ballgame. As the founder of A New Song USA and a performer who’s taken my music to prisons across the country, I’ve had to navigate a unique set of logistical challenges. Here’s a look behind the scenes at what it takes to bring hope and healing through music to some of the most unexpected venues.

Finding the Venues:

The first step in organizing a prison concert is finding the right venue. With hundreds of state and federal prisons spread across the United States, it’s no small task. I often start by visiting websites that list all the prisons in the country, complete with maps of their locations. This allows me to visualize potential routes and plan my travels accordingly.
When I first began, I simply started with “A,” not realizing that getting to places like Alaska might be a bit challenging. But that’s part of the adventure! I reached out to facilities in Alaska, Alabama, and beyond, and though I haven’t made it to all of them yet, the connections are in the works.

Making Contact:

Once I’ve identified a potential prison, the next step is to make contact. This usually involves digging through the prison’s website to find a phone number or an email address. Every state has its own protocols, and some are more straightforward than others. I send an introductory email, often accompanied by a flyer that I’ve created specifically for these events. The flyer outlines the mission of A New Song USA and provides a glimpse of what the inmates can expect from the concert.
Each state has different requirements for volunteers, especially for non-profits. This often means filling out forms and, in some cases, completing an online training course. It’s a meticulous process, but one that ensures everything is above board and that I can enter the facility prepared and informed.

Coordinating with the Chaplain or Volunteer Director:

Once I’ve made initial contact, I’m usually directed to either the chaplain or the volunteer director of the facility. This is where the real planning begins. I send them a link to my website and any additional information they might need to understand who I am and what I’m offering. If they’re interested, we move on to the next steps.
One of the first questions I’m asked is, “What equipment will you need?” This is a critical part of the planning process. Depending on the facility, they may have their own sound system, or I may need to bring my own. If I’m flying in, I’m limited in what I can bring, usually just my guitar. We work together to ensure that the technical aspects of the concert are covered, even within the constraints of a prison setting.

Setting the Date and Spreading the Word:

Once the logistics are in place, we move on to selecting a date for the concert. I offer to create a flyer for the event, which the facility can distribute to the staff and inmates. This helps generate interest and ensures that those who want to attend have the opportunity to do so. Typically, inmates are allowed to sign up in advance, ensuring that the event is organized and well-attended.
I’ve performed in a variety of prison settings—libraries, gyms, and chapels. When I perform in a chapel, I always request a non-denominational space. My message is universally spiritual, and I want to keep the event open to all, regardless of their faith or background. This inclusivity is at the heart of what A New Song USA is all about.

The Day of the Concert: Bringing It All Together

On the day of the concert, everything comes together. The planning, the outreach, and the coordination all culminate in a single, powerful event. Walking into a prison with my guitar in hand, knowing that I’m about to share something meaningful with the inmates, is an experience like no other.
